I read hundreds of emails from senior candidates and I can usually tell someone's level before I get to their signature 📩 Not from what they are saying. From the packaging around it. Here are the six that give people away, and every one is a swap you can make this week: 1️⃣ Opening with an apology for the delay. Nobody was counting the days, and you have now put your lateness in their head before your point. Say thanks for your patience and move straight into it. 2️⃣ Burying the ask in paragraph three. Senior people lead with what they want and put the reasoning underneath, because they assume the reader is busy. 3️⃣ Asking whether that makes sense at the end. You are checking whether you were allowed to say it. Replace it with telling them what you need back and by when. 4️⃣ The word just. Just checking in, just wondering, just following up. It is a permission word. Delete it and send the sentence without it. 5️⃣ Hedging your own conclusion. I could be wrong, this might be a silly question, I might be missing something. If you have done the work, say the thing. If unsure, name what you are unsure about instead of discounting the whole message. 6️⃣ Ending with let me know your thoughts. That is an invitation for nothing to happen. Give them a decision, a date, and what you will do by default if you do not hear back. ZeroBounce went through more than 1.6 million work emails and found common softeners cluster around apologising for replying late and intruding. This is not a you problem; it is what almost everybody has been trained to write. But here is why it matters. In rooms where you get discussed, most people have never watched you work. They have read you. Your writing argues for you when you are not there, and softeners can read as a lack of authority.
