@stacey.med.bill.co: When our billing office is separate from the office, it sometimes gets a little tricky. This patient paid $25 on a past due balance, but did not pay his current co-pay. We did not know that he was paying on the past due balance so we posted it to the day he was seen. I explained in the call why we do that for this account specifically. All other accounts we post the payment to the oldest balance but this account. The goal was to explain it to him, de-escalate the situation and get the bill paid! #medicalbilling #medicalbillingspecialist #getpaid #support #medical
Any payment received is to be applied to the oldest account. This was taught when I took the course. So that when the payment is posted you can see if there are any outstanding balances. Sometimes patients don't get how this is done

so we have a really old system and it automatically puts everything to the oldest balance. also our practice manager does not like for there to be money sitting on an account that's unassigned, Even if the charge hasn't been punched so she assigns it to whatever she wants and then we have to go in and fix it

I freaking hate software that doesn't allow you to post payments to the correct dates. I waste hours doing this. (Genesis)

A patient continued to argue with me that i was trying to steal his money when i told him he owed for a past visit. I had to unapply every payment and show him where he missed one and he still wasn’t satisfied because his copay had went up from the prior year and he kept paying the copay from the year before. It was exhausting and i hated every time he came in

This is a daily conversation for me, lol even after explaining they had a past due balance that the payment they just made went towards the past due balance, then I offer an very detailed itemized statement to show that exactly where the payments were applied.

It’s beneficial to apply to the oldest balance depending on your collections process. Our collections cut off is 90 days so it doesn’t benefit the patient to apply it to the newest balance then have them go to collections for an older balance that we technically had funds for in order to prevent this.

That’s what kills me. It’s up to the office to actually explain this. ( Worked both front end and backend) Unfortunately we as patient advocates (No matter which end of billing) WE know through experience how the process works. I only say this because so many patients don’t understand this. Especially our Medicare patients 😢

The most important and satisfying part of such stories, when you successfully explain and satisfy your patient over the phone call is a super win of the day as a medical biller 😊

it drives me nuts but our office always applies money to the oldest balance, sometimes even the copay that is specifically for that day
