Here’s the 5-minute ritual I’ve used on every project: Open a blank note and write 3 things. 1️⃣ This week’s outcome Not a task list. The actual deliverable. “By Friday: model fully built, pressure-tested, and ready for Manager review.” Clear. Tangible. Review-ready. If you can’t define the output, you’ll default to activity instead of progress. 2️⃣ The 2 priorities that actually move it Force constraint. • Lock core assumptions and sensitivities • Reconcile numbers against latest dataset The fewer moving parts, the sharper your week. 3️⃣ The biggest risk One clear sentence. “Pending cost inputs could delay final validation by 2-3 days.” Managers think in trade-offs and risk. If you surface it first, you look like you’re running the workstream. Then send a short alignment note: “My focus this week is getting the model review-ready. Priorities are locking assumptions and reconciling the dataset. Flagging potential data delay - let me know if you’d shift anything.” This does three things: • Shows ownership • Creates early alignment • Prevents Thursday surprises You’re not waiting for direction. works well if you're only doing one project at a time, but that's not possible in my job. I manage multiple projects per client, and i switch clients at the end of the week, for 4 clients.
