Sharepoint = everyone can access this. One Drive = I want this to be private. Onenote = I want specific people to see several things that go together in one place. Teams channel = conversations I want to document with files attached. teams chat = an email convo Inwant to keep out of my inbox. That’s how I make sense of it.

Documents should live in an Electronic Documents & Records Management System (EDRMS) with appropriate controls, restrictions, and disposal schedules. SharePoint, Onedrive, or Teams are not an EDRMS.

this looks so doable compared to some overly complicated systems. do you keep a standard naming convention or change it per project? i’ve been experimenting with workbeaver to keep my files neat and searchable, and it’s saved me hours when looking back at older drafts.
