Then you copy it, open Gmail, find the client's address, check what you quoted them, fix the details, and hit send. Your AI has an assistant. It's you. This video fixes that without touching the model. Same AI, different setup around it. Three pieces, in order: 1. CONTEXT. The information it needs for this particular job. "Follow up with the client" gives it almost nothing: which client, about what, did they already reply? Connect it to the client record and the last email thread and it can see that Sarah got a proposal on Monday and asked you to wait until her budget meeting on Friday. Useful detail, especially if you were about to send her three reminders on Wednesday. 2. TOOLS. Connections that let the system actually do things: search your client records, create a draft, send an email. The model requests the action, the connected software carries it out and returns the result. Writing "email sent" in a chat box does not send an email. I can write "kitchen cleaned" on a sticky note. The dishes remain unimpressed. 3. A PROCESS THAT CHECKS. The system reads Sarah's reply, sees Friday hasn't happened yet, and leaves her alone. It checks the next client, sees a follow-up is due, prepares the message, gets your approval if that's part of your setup, sends it, and confirms the result. Then one distinction before you call every box with an email connection an "AI agent." If you drew the steps and branches in advance, that's a workflow. Perfectly useful, keep it. If the model chooses the next step based on what it finds, uses a tool, checks the result, and adjusts toward the goal, that's an agent pattern. A workflow follows your recipe. An agent works like a chef deciding what to do next. Both still need the ingredients and access to the kitchen. Where to start: take the annoying task you do every Tuesday and write down three things. What information it needs. What actions it involves. What a finished job looks like.
