How AI and automation work together How AI and automation actually work together, with something you'll use every week: every bill in your email sets its own calendar reminder and adds itself to your budget sheet. No more finding the water bill a day late, under forty sale emails. First, what each one is. Automation is a set of steps that runs on its own: when this happens, do that. It can spot the word "bill" in an email, but it can't tell what the bill says. AI can read a messy email and understand it, but on its own it just sits in a chat window, waiting for you. Put them together and every AI automation is three blocks: When, Think, Do. The build in n8n (a tool that connects your apps): 1. WHEN: a Gmail Trigger checks every minute for new emails that match the search invoice OR bill OR "payment due" (Simplify off, Download Attachments on). 2. THINK: Extract from File reads the PDF if there is one (On Error: Continue, so emails without a PDF still go through). Then an Information Extractor with a chat model fills the same four boxes every time: sender, amount, due date and sure. Amount and due date aren't required, so the AI can leave them empty instead of guessing. 3. A check: only if sure is true AND the amount AND the due date are filled does anything get booked. 4. DO: Google Calendar "Create an event", an all-day reminder three days before the due date. Google Sheets "Append row in sheet" adds Who, Amount and Due to your budget. 5. When the AI isn't sure, like a sale email that looks like a bill, nothing gets booked. Telegram "Send message and wait for response" sends you a quick message: Is this a bill? You tap Yes or No, or fill in the amount or date it missed. Paying stays with you. Why this works when old automations didn't: your electric bill, your dentist and your phone company all look different. Old automations needed a rule for every layout. The AI just reads them. Once you see these three blocks you'll see them everywhere. A voice memo comes in, the AI pulls out the to-dos, and your task app gets them. A receipt photo comes in, the AI reads the total, and your expenses get a line. Automation is the hands. AI is the brain. Your job is picking the When and writing a clear Think. This is for beginners, small business owners, freelancers and anyone drowning in an inbox who wants AI working for them, not just chatting. If you're starting from zero, I teach this step by step inside my community. The basics first, then automations, then putting AI in the middle.
