Danny runs a home cleaning company with 140 clients. He tried 8 AI tools, put everything into ChatGPT, and still got wrong answers, like telling a client "we clean on Sundays". So we got on a Zoom call and mapped his business before touching a single AI tool. Why ChatGPT gives wrong answers about your business: you hand it one big pile of information and it has to guess. AI answers correctly when your business is written down in a structure it can look up. How to build an AI email assistant for your business: Map your inbox. Connect Gmail, pull the last 3 months of customer emails, and let AI sort them into the types you really get: prices, reschedules, complaints, access, special requests. For each type, write down how you handle it. That one page is your playbook, and it's the base of every AI customer service system. Put your clients in one Google Sheet. One row per client, matched by email and phone number, with a column for each home's rules ("dog stays inside", "no bleach"). Lockbox codes and passwords never go in a sheet the AI reads. Write one doc of general business rules: prices, hours, what you don't do. The AI workflow: a new email comes in, AI sorts it, matches the sender to their row, reads the rules and drafts a reply from that data. Add a checker. A second AI step checks every draft against the sheet and the rules: right day, right price, nothing made up. If it fails, the email goes to you. Human in the loop. Easy emails, like a starting price, can send on their own. Complaints, refunds, schedule changes, access and unknown senders go to you as a Gmail draft or a Slack message, so you approve before anything goes out. Roll it out safely. Test it on your old emails first, run 2 weeks of drafts only, and turn on automation one email type at a time. Let it learn. When you edit a draft, the AI suggests a new rule and you approve it, so the system gets better without rewriting itself. Add text messages. A Twilio business number feeds SMS into the same AI workflow and the same Google Sheet. You can build this with workflow automation tools like n8n, connecting Gmail, Google Sheets, Slack and an AI model. The tools matter less than the map. This works for any service business: cleaning companies, property management, agencies, clinics, home services. #aiautomation #claudecode #aiagents
