Rules go in one short document: how he talks, what he never promises, broken heaters go to maintenance, fair housing questions go to a person. Judgment stays with him: discounts, complaints, anything not in the sheet. 4. Human in the loop. The AI drafts a reply, flags it and asks him. He answers once, it goes into the sheet or the rules, and next time it knows. That's how the system grows. Two weeks in, renters got an answer in about 2 minutes and nine conversations out of ten never needed him. Most of that work had nothing to do with AI, it was his system organized so AI could use it. When the next tool comes out, he plugs the same system in within an afternoon. This is for business owners, and for anyone who builds AI automation for clients.
