In most companies the waste lives in the handoffs. The same order gets typed into three apps by three people, and somewhere along the way forty pounds turns into fourteen. So AI goes there first: it carries the work across, and a person at each desk says yes. The setup: n8n is the wiring. When something happens in one app, it runs the steps in the others. Claude reads and writes the messy parts: the email, the photo, the draft. Slack is where people approve. Sales: the quote request lands in Gmail. Claude pulls out the order and drafts the quote with prices read live from Google Sheets. A plain check (no AI) compares every price against the sheet. Then a Slack approval shows the order Claude extracted, the email it wants to send and the price row it read, with Approve and Decline buttons only the rep and his manager can press. Decline asks what to change. No answer in two hours goes to the manager. Operations: the approved order drops into the Airtable roast schedule untouched. Duplicate emails are caught twice, by message ID and by an order lookup. Finance: the invoice needs no AI at all. It copies the approved order into QuickBooks, waits unsent, and the controller sends the batch. No step in finance can pay anyone. Support: a crushed bag plus a photo gets a drafted apology and replacement. Refunds wait for a person. What people keep: money, contracts, decisions about people, and anything that leaves the company. Every action becomes a row in an AI log, and a failed step posts to Slack instead of vanishing. When approvals pile up, batch them, and let only internal steps with a long clean record run alone. The rollout: one department, one workflow, a shadow week, then a week of approvals.
